Our consortium is looking for a system that automate complex tasks and data flows, speeding up our booking flow and eliminating errors due to manual calculations. In order to serve our customers better and be more focused on the process, we need to simplify the back office job, or more specifically the invoicing, the document handling and VAT calculations. We have identified in the list of service providers the Bulgarian company RISA CORPORATE TRAVEL BULGARIA LTD as a potential supplier of the system we need.
The key objective is to improve the automation of the business and in particular the process linking front line operations into the back office function. This is to be pursued via a CRM based system. This will have multiple benefits on the business with the ultimate goal being to reduce the manual processes currently prevalent within the business and to reduce the burden on the accountancy function. Additionally, it is aimed that the new CRM based system will improve the accuracy of the transactional data to ensure and be fit and proper for the generation of internal management reports. Additionally, the ability to generate management reports for internal use is also a key element which in turn will allow for greater visibility over the day to day operations which in the wider scheme will allow for more accurate planning for the future.
The new back office system will extract the transactional data generated through front line GDS booking sources such as via Travelport and Amadeus as well as extract and consolidate the data from non-air travel service providers such as car hire, hotel bookings and transfers suppliers such as B2B wholesale providers and via suppliers’ direct links.
The many organisational benefits that the new CRS system will provide include amongst many, the improve the flow of data from operational staff through to the back office by consolidating the transactional data into one source to allow the flow of data through to the back office. The speed and accuracy of invoicing will be improved and the possibility of manual error reduced through this automisation. Management reports that are essential for the ongoing analysis of the business will be easily generated and these will be more detailed and specific with regards to data regarding actual clients, our suppliers and the types of services that are being provided. The more detailed business analysis will also help the company in turn help our own clients in helping them understand their own travel habits and travel spend and thus identify potential cost saving opportunities.
